Powdersville Water (PW) is actively seeking a qualified candidate to fill an open “Administration Purchasing and Support Specialist” role. The ideal candidate will coordinate the procurement of administrative goods and services, including but not limited to office supplies and equipment, and related non-core services for all departments of PW. Maintains minimum stock quantities of all office and other supplies that are recurring bulk purchases. Assists with managing all service agreements associated with office equipment. Provides administrative support to Finance and Administration. Candidate must be a self-starter, who is able to work collaboratively and effectively with staff at all levels and be able to maintain inventory of numerous items, converse with vendors, negotiate effectively, and ensure accountability of stock and the use thereof.
Key Responsibilities:
- Maintains and improves knowledge of all areas of the company, including operations & maintenance, regulatory compliance, construction & development, as well as office machines and supplies, to be knowledgeable enough to manage the procurement process.
- Monitors minimum stock quantities, places orders, coordinates shipping and deliveries, and confirms bills of lading before sign-off and forwards delivery receipt documentation to Accounts Payable.
- Coordinates purchasing of mobile phones, iPads, office, kitchen, and restroom supplies, paper products, coffee delivery, catering, promotional materials, printing services, etc
- Develops and maintains vendor database. Maintains professional, productive, and cordial relationships with all vendors and service providers and seeks to negotiate pricing structure favorable to PW.
- Manages insurance claim processing, professional dues and subscriptions, memberships, etc
- Manages the sale or disposal of all salvaged office equipment, IT assets, etc. in an ethical manner and in compliance with the PW Procurement Policy.
- Coordinates training and travel arrangements for staff and Board members.
- Coordinates document transfers for storage, retention, and shredding in accordance with records retention policy.
- Provides administrative support to the Executive Director, Director of Finance and Administration, Financial Services Manager, and Customer Service Manager.
- As time allows, provides support to Project Coordinator in document scanning/digitizing and organization.
- Other duties as assigned
Qualifications:
- High School Diploma or GED equivalent with 2-4 years of vocational training preferred
- Minimum of 2 years of experience in administrative office environment
- Thorough knowledge and experience using Microsoft Office Suite
- Comfortable with creating and maintaining electronic documents.
- Excellent verbal and written communication skills
- Excellent organizational skills, keen attention to details
- Ability to make routine and non-routine decisions concerning purchasing and the management of administrative operations
- Experience in water utility administration preferred
- Experience with GIS (Geographical Information System) mapping a plus
- Valid SC Driver’s License
